AGM Minutes

edited February 2013 in General
Minutes of Scarborough Games Society AGM
07/02/2013

Apologies for absence, Craig Henderson (Chairman). Meeting chaired by Vice Chairman Simon Hildreth.

Opening statement about the club's success and future ambitions.

Treasurer's statement, including
- the problem of late payment/avoidance of payment of club fees
- suggestion of changes to club fees
- noted that the club can only make payments by cheque, not cash

Change of venue. After some problems with the current venue it has been suggested that we find alternative premises. This was put to the membership who voted unanimously to stay at the Old Vic.

Annual and nightly subs. The committee suggested a change to club fees, to a £10 per year charge for membership, waived for under 16s, and a £1.50 per night charge, £1 for under 16s. Passed with majority.

It was noted that people's belongings often pose a risk when left in walkways, or could be at risk of theft if left unattended. Club members were advised to keep their belongings with them at all times, or stored under tables.

It was suggested that the committee add a CCG liaison position. Passed with majority.

Vote on committee positions:
The following people were voted by majority to the following positions on the club committee.
Chairman, Simon Hildreth
Vice Chairman, Craig Henderson
Treasurer, Christopher Lewis
Secretary, Ian Waller
CCG Liaison, Andrew Willis & Lee Davis

CCG Liaison position was tied after two votes, so it was agreed to share the post.

Club spending. It was agreed to try using an online poll system to vote on club spending. It was noted though that 8 members didn't have internet access, so this information would have to be available at the club. It was decided by majority vote to allow the committee to make purchases of up to £40 without needing a majority club vote.

Other business. Willis reminded people of the Vanguard tournament on 25/02/13.
Disposal of old club property was discussed, and it was agreed to offer anything being disposed of to club members first.
Club provision of painting supplies was brought up again, and John Swiers of Space, Myth & Magic offered to donate a starter set of paints.
